What You’ll Do
As the ASC Operations Coordinator you will be you will be the first point of contact for patients and visitors, ensuring an efficient, friendly and professional experience. You will be responsible for handling incoming and outgoing phone calls and inquiries. You will manage patient check-in and check-out, coordinate scheduling for surgeries for assigned physicians, and maintain accurate records in compliance with center policies. You will be responsible for obtaining and documenting all medical and cardiac clearances, procedural consents, and patient health and physicals. In this role, you’ll play a key part in keeping daily operations efficient, organized, and patient-focused.
Key Responsibilities:
- Champions the patient and visitor experience with a professional and welcoming demeanor while collecting all necessary documentation and patient financial obligations prior to their procedures and delivering all necessary discharge paperwork.
- Answers and routes incoming phone calls and other inbound communication in a courteous and timely manner.
- Owns the center credentialing and onboarding process in Partnership with medical director leadership including collection of necessary paperwork and application access management.
- Schedules and coordinates cases for physicians as assigned.
- Responsible for maintaining patient medical records and other center documentation and paperwork in accordance with center policies and procedures and regulatory requirements.
- Monitors the surgical schedule daily and notifies necessary internal and external stakeholders such as scheduling and anesthesia of important changes and business-impacting events.
- Coordinates between clinic staff, surgery scheduling and anesthesia partners to collect appropriate clearances, prior authorizations, pre-operative and financial paperwork.
- Conducts documentation and perioperative report audits in accordance with center policies and procedures.
- Responsible for ordering of office and administrative supplies for the center within budgetary guidelines.
Required Skills & Competencies:
- Previous ambulatory surgical center administrative experience strongly preferred.
- Excellent computer skills and strong knowledge of medical terminology
- Previous experience working in an EMR – preferably athenahealth EMR.
- Must be an effective communicator with excellent grammar and interpersonal skills.
- Exceptional customer service orientation featuring an empathetic, compassionate, and professional demeanor with each interaction.
- Demonstrated experience as a motivated and dedicated team leader with a stable work history.
- Reliable transportation and the ability to pass a background check and drug test is required.
