Schedule: Full time, Monday–Friday

Position Summary

We are looking for a Medical Assistant to support our outpatient neurology practice. You’ll play a key role in patient care, clinic flow, and care coordination while working closely with neurologists and advanced practice providers. This is a fast-paced, hands-on role where MAs are trusted and valued members of the care team.

Key Responsibilities

Clinic & Patient Flow Support

  • Prepare patient charts ahead of scheduled visits by ensuring all relevant imaging, lab results, reports, and documentation are available and accurately loaded in the medical record.

  • Carry forward relevant clinical information into provider templates as appropriate to support efficient and high-quality visits.

  • Load imaging into the RadiAnt image viewer prior to patient visits so providers can seamlessly review studies with patients.

  • Room patients promptly and efficiently to support on-time clinic flow.

  • Perform patient intake, including review of medical history, completion of required quality/MIPS questions, medication reconciliation, and collection of vital signs.

  • Provide clear handoff to providers prior to the patient encounter.

  • Turn over exam rooms between patients, ensuring rooms are clean, stocked, and ready for the next visit.

Provider & Procedure Support

  • Prepare procedure trays as needed for in-office procedures and injections (e.g., Botox, Xeomin).

  • Assist providers during patient visits and procedures as requested.

  • Answer and manage clinical phone calls for assigned provider(s).

Clinical Administration & Care Coordination

  • Triage provider inboxes, including patient portal messages, administrative communications, and incoming forms, routing items appropriately to providers or other team members.

  • Obtain prior authorizations for oral and injectable medications using CoverMyMeds and other payer portals.

  • Coordinate specialty pharmacy medication delivery in advance of scheduled appointments (e.g., Botox, Xeomin, other injectable therapies).

  • Coordinate peer-to-peer reviews between providers and insurance companies when required.

  • Fax orders for imaging, laboratory tests, and other services as needed.

  • Pre-fill FMLA, disability, and other medical forms for provider review and signature.

  • Draft appeal letters and supporting documentation for insurance and benefits-related denials on behalf of providers.

Inventory & Medication Management

  • Receive medication orders and enter them into the inventory management system.

  • Manage medication samples, including proper storage, logging, and reordering in compliance with clinic policies.

What We’re Looking For

  • Medical Assistant certification or diploma (CMA, RMA, CCMA or similar)

  • Experience in a medical office or specialty clinic

  • Strong organization, multitasking, and communication skills

  • Comfortable working in a fast-paced environment and supporting complex patients

Neurology, injections, phlebotomy, or prior authorization experience is a plus, but we will train the right person.

  • Supportive team and positive culture

  • Opportunity to grow as the practice expands
