Hourly Range: $28.00 - $30.00

Job Summary

We are seeking a dependable and detail-oriented Administrative Assistant to support our tax operations team. This role is essential to the successful execution of tax season activities, including e-filing support, client communication, document management, and scheduling. The ideal candidate is experienced working with confidential information, managing high volumes of documents, and supporting multiple accountants in a fast-paced, deadline-driven environment.

Key Responsibilities

• Support the e-filing of federal and state tax returns.
• Contact clients to follow up on missing information, signatures, and e-file authorizations.
• Responsible for handling incoming client calls, answering questions, and assisting them with navigating our portal.
• Download, track, and organize all e-file authorization forms.
• Assist with outbound client calls and document retrieval.
• Scan, upload, and organize tax-related documents post–tax season.
• Maintain accurate and well-organized digital filing systems.
• Coordinate and schedule client calls and appointments for a team of accountants.
• Office calendar support and schedule/order office lunches.
• Provide administrative support during peak tax season and throughout the year.
• Participate in off-season training to support more complex tax administrative tasks.

Key Requirements

• High school diploma or equivalent required
• 2–5 years of administrative experience in a professional confidential environment
• 2+ years of Excel skills, including data entry and spreadsheet management
• Proficiency with Microsoft Office (Outlook, Word, Excel)
• Experience handling confidential and sensitive information
• Comfortable with frequent phone work and direct client communication
• Strong attention to detail and organizational skills

Preferred Requirements

• Experience in a tax, accounting, or law firm environment
• Familiarity with tax software, e-filing platforms, or document management systems
