The Office Manager and Executive Assistant is a dual-role responsible for ensuring the smooth operation of the office and providing high-level administrative support to senior executives. This individual will be a key player in maintaining a productive and efficient work environment, managing administrative processes, and facilitating executive communications.
Who You Are
- A minimum of 5 years of experience in an administrative or office management role, with at least 2 years supporting senior executives.
- Bachelor’s degree or equivalent experience
Professional & Interpersonal Skills:
- Exceptional Communication: Articulate, professional, and clear in both written and verbal communication. Ability to tailor communication style to various audiences, from C-suite executives to external vendors.

The Reality of the Role
Office Management:
- Oversee and manage general office operations to ensure a well-organized and efficient environment.
- Serve as the primary point of contact for building management, service providers, and vendors, including managing relationships and contracts.
- Manage office supplies and inventory, ensuring that necessary materials are always available.
- Implement and enforce office policies and procedures, including the management of security and badge identification systems.
- Coordinate with IT for the setup of new hire workstations and troubleshoot minor technical issues.
- Organize and expedite the flow of work for office staff, providing direction and support as needed.
Executive Assistance:
- Provide comprehensive administrative support to C-suite executives.
- Manage executive calendars, schedule meetings, and coordinate travel arrangements.
- Prepare and edit correspondence, presentations, and reports for internal and external audiences.
- Act as a liaison between executives and other departments, clients, and external partners.
- Handle confidential information with discretion and professionalism.
