At ActiveCampaign, we believe that world-class talent is the engine of our success. As our next People Coordinator, you won’t just be managing administrative tasks—you’ll be the architect of the first impression for every new hire and a guardian of our operational excellence. You will play a pivotal, dual role: serving as the backbone of the Talent Acquisition team by creating seamless interview experiences, while simultaneously partnering with the People Operations team to manage the entire employee lifecycle with precision and care. This is an opportunity to be at the heart of our culture, ensuring that every interaction—from a candidate’s first phone screen to an employee’s career milestone—is handled with the "best in class" service that defines our team.
On a typical day, you might:
- Safeguard compliance and records by meticulously maintaining and auditing HR data, including job classifications, salary updates, and terminations in accordance with federal and state laws.
- Streamline pre-boarding and hiring by administering background checks, managing the I-9 process, and ensuring all offer documents and employment contracts are executed flawlessly.
- Act as a Workday power user, building out new hire profiles and partnering with the broader People team to iterate on HRIS records and system needs.
- Serve as an Onboarding Liaison, partnering with the IT department for equipment logistics and providing dedicated support to new hires during their critical first days.
- Empower our employees as the first point of contact for inquiries, resolving Tier 1 tickets with speed and accuracy using internal resources.
- Orchestrate interview logistics for the Talent Acquisition team, utilizing Lever to coordinate phone screens, assessments, and panel interviews for a seamless candidate journey.
- Manage high-volume candidate pipelines, tracking individuals through various stages of communication, testing, and screening with precision.
- Deliver an "Experience First" service level, providing an exceptional and professional environment for both our candidates and internal interviewing teams.
- Drive special projects across People Ops initiatives, including compliance audits and team events, to constantly improve our internal HR duties.
The ideal candidate will bring:
- 1–2+ years of experience within an HR or People team, demonstrating a strong foundation in administrative coordination.
- Systems expertise with the ability to master new technology quickly; prior experience with Lever (ATS) and Workday (HRIS) is highly preferred.
- Exceptional communication skills, with a talent for interacting professionally with stakeholders at all levels.
- Unwavering attention to detail and a commitment to accuracy when managing sensitive data.
- A proactive, problem-solving mindset that seeks to streamline administrative workflows and improve efficiency.
- The agility to pivot between tasks at the drop of a hat, remaining productive and positive in a fast-paced environment.
- A proven ability to maintain strict confidentiality regarding sensitive employee information and records.
- Foundational knowledge of HR law and compliance (a strong plus) and a Bachelor’s degree (preferred).
